Travel Assistant

About the role

The Travel Assistant supports the UNODC Regional Office for West and Central Africa by managing staff and affiliate travel arrangements. Working under the Regional Representative and Operations Officer, the role ensures travel processes are efficient, cost‑effective, and compliant with UN rules.

Key responsibilities

• Coordinate travel for staff and affiliate personnel to various destinations.
• Calculate and initiate travel entitlements (airfare, baggage, per diems, etc.) and submit for approval.
• Provide information on flight frequencies, rates, and economical options.
• Make airline reservations, negotiate fares, and handle competitive bidding documentation.
• Process ticket changes, cancellations, and reimbursements, including residual value calculations.
• Review travel claims for completeness and accuracy before forwarding to Accounting.
• Advise on cost‑effective routing and promotional fare opportunities.
• Maintain records of travel authorizations and document savings achieved.
• Coordinate with consulates and host government ministries as needed.

Required profile

• Ability to work under guidance of senior UNODC staff.
• Strong attention to detail for entitlement calculations and claim reviews.
• Good communication skills for liaising with airlines, consulates, and internal units.
• Familiarity with UN travel rules and procedures.
